Best practices - online reputation

How to get the most out of RepOtz to grow your reputation, sustainably and in compliance with regulations.

A regular flow of reviews carries more weight than a one-off spike: review freshness is a strong signal for both platforms and customers. Integrate review requests into your normal workflow (at checkout, after service, via QR code on table/receipt).

The shorter the journey, the higher your submission rate:

  • Place the QR code where customers have their phone in hand and a moment of availability.
  • Use a clear message (“Your review in 30 seconds”).
  • Let the funnel automatically redirect to the right platform.

Guide without filtering (no “review gating”)

Section titled “Guide without filtering (no “review gating”)”

RepOtz guides based on satisfaction - it highlights platforms for satisfied customers and collects feedback privately first from dissatisfied ones, giving you a chance to respond. But both channels always remain available: a dissatisfied customer can still leave a public review, and a satisfied customer can also reach out to you privately.

Filtering reviews by rating (“review gating”: only sending satisfied customers to platforms) is prohibited by Google and FTC rules. RepOtz never does this, and the merchant cannot cut off public access.

Responding - especially to negative reviews - matters as much as collecting them: it shows you listen and reassures future customers. Use a calm, factual tone focused on solutions.

  • Never buy fake reviews or incentivize them with conditions tied to a positive rating: this violates platform rules and consumer law, and puts your reputation at risk.
  • Ask all customers for reviews, not just those you think are satisfied.
  • Respect consent for email solicitations (see review request automation).

Use RepOtz analytics (volumes, platform clicks, funnel data) to identify what converts and adjust QR code placement, messaging, and timing.

Q. Can I only send review requests to customers I think are satisfied? A. Not recommended and against platform rules. RepOtz helps handle dissatisfaction privately, but solicitation must remain fair to all.

Q. Can I offer a discount in exchange for a review? A. Conditioning any incentive on a review (especially a positive one) is prohibited by most platforms. Keep your request neutral.
